we have a usb modem connected to our workstation, when we try to setup the email the only options we have are Com ports? can we use a usb modem or should we get a serial one?

Then just set the email options to either MAPI and use Outlook or Direct and enter the URL for the SMTP server your ISP provides and any necessary authentication. You don't need a modem, unless you are connecting to the internet through a dial-up line.
